Quotes and Tender Opportunities

Tendering for goods and services

The value of a contract determines the Council procedures that we must follow. It also determines how many quotes we need to obtain or whether a full tender process must be entered into. The quotation process (for contracts less than £25,000) generally involves officers obtaining at least three competitive quotations. The full tender process (for contracts greater than £25,000) is a more formal process.

Advertising tenders

To comply with the Council's constitution and the EU Procurement Directives, we are required to advertise tenders.

All tenders above EU threshold value are advertised in the Supplement to the Official Journal of European Union (OJEU).

You can access the Council's tender opportunities on the external website myTenders.

We may also place tender opportunities in local newspapers including:

  • East Anglian Daily Times
  • Bury Free Press (including Newmarket and Mildenhall Journals)

For a full tender process we are likely to ask you to complete a background pre-qualification questionnaire. This will ask you to provide details about your company's financial standing, capabilities, experience and where references can be obtained. You should thoroughly read any documents you receive and complete as much information as possible where required.

Standing list of contractors

The Council has a Standing List of Contractors sub divided into specific works categories. The List is under constant review, with a general review undertaken every three years. The list contains eligible contractors who may or may not be invited to quote for work and there is no guarantee of business by virtue of being on the list.

However, all companies have equal status in terms of opportunity and any company from the list could be requested to provide a quote or invited to tender for goods, services or works as and when required by the Council.

Qualification for inclusion on the list is subject to the Council's Contract Standing Orders.
